Please read this privacy notice carefully as it contains important information on who we are, how and why we collect, store, use and share personal information, your rights in relation to your personal information, and how to contact us and the supervisory authority if you have a complaint.

Who We Are

arc⁴ Limited is a specialist housing research organisation, registered in England (Company No. 06205180). Our registered address is 41 Clarendon Road, Sale, Cheshire, M33 2DY.

We are registered with the Information Commissioner’s Office (ICO Registration No. Z992934X).

We conduct stakeholder research:

  • To deepen our understanding of housing issues and themes relevant to the council areas we work in.
  • To understand housing market interactions with neighbouring local authorities.
  • To understand the needs of specific groups within the population.

arc⁴ is registered with the Information Commissioner’s Office (ICO) under registration number Z992934X.

How We Collect and Use Your Information

You have been selected to receive information about this survey. Contact lists may be provided by our clients (such as councils or housing associations) or sourced from commercially available directories. When we contact you, a unique reference number is assigned to you. When you submit your survey responses, arc⁴ receives that reference number alongside your answers. Your name and email address are not included in the survey results.

arc⁴ will only share the anonymous, aggregated results of the survey with the relevant Data Controller(s) (such as a council or housing association) who commissioned the research.

Lawful basis for processing: The Data Controller(s) rely on the lawful basis of Public Task carried out in the Public Interest for the processing described above.

arc⁴ has a Legitimate Interest to retain and process anonymised survey information (which will not include your name) indefinitely for statistical and future research purposes. A legitimate interest assessment has been carried out to confirm that this does not unduly override your rights.

Types of Personal Information We Collect

We collect the following personal information from you:

  • Your name
  • Your contact details (e.g. email address or postal address)
  • A unique reference number
  • Your opinions and experiences relating to housing demand and need

Sharing Your Information and How Long We Retain It

arc⁴ contacts stakeholders in a variety of ways. We have largely moved to online data collection but may also use traditional post where required. Where we use postal surveys, we work with data processors to send paper surveys and carry out data entry.

We use secure cloud-based providers for storing your information. All data collected is retained and processed within the UK or the European Economic Area (EEA). arc⁴ does not transfer personal data outside the UK or EEA.

arc⁴ retains survey results, including the reference ID (but not your name), indefinitely for statistical purposes. arc⁴ will ensure that the results of the research, and any resulting statistics, are not made available in a form that identifies you as an individual.

Data Storage and UK/EEA Retention

All personal data collected through arc⁴’s stakeholder surveys is stored and processed exclusively within the United Kingdom (UK) or the European Economic Area (EEA). arc⁴ selects cloud service providers and data processors that are based within, and operate solely from, the UK or EEA. We do not transfer your personal data to any country outside the UK or EEA. This means your data benefits from the full protections afforded by UK GDPR and, where applicable, EU GDPR.

Your Data Protection Rights

Right of Access
You have the right to request a copy of the personal information we hold about you. To make a subject access request, please contact arc⁴ at businessteam@arc4.co.uk or call 0800 612 9133.

Right to Rectification
If you believe any information we hold about you is inaccurate or incomplete, please contact us using the details above. We will consider your request and respond within one month. Please note that the research captures your views and opinions at the time the survey was conducted.

Right to Erasure, Right to Object or Restrict Processing
Where arc⁴ processes data under a Legitimate Interest for statistical purposes, a legitimate interest assessment has been conducted to ensure your rights are not unduly outweighed. As your name is not included in retained data, and as our work requires us to maintain the integrity of datasets, full erasure of anonymised records may not always be possible.

Right to Complain
If you are unhappy with how we have handled your information, please contact us in the first instance using the details below. If you remain dissatisfied, you have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint.
